Odyssey Innovations Ltd is a leading provider in marine biotechnology and research, headquartered in Jakarta, Indonesia, near a key marine biodiversity area. The company specializes in producing advanced equipment and tools for monitoring and managing marine environments. Odyssey Innovations is renowned for its innovative solutions in marine conservation, sustainable aquaculture, and oceanographic research, employing over 6,000 staff across locations in Asia, Africa, the EU, the US, and even Antarctica. Odyssey is further structured into 12 major divisions. One of these is the Marine Environmental Sensors & Instruments (MESI) Division.
Case Study Tasks and Roadmap
Objective:
As a consulting team hired by Odyssey Innovations Ltd, your task is to analyze the operational challenges as outlined in the Consulting Brief, identify areas of improvement, and propose effective solutions. Your analysis and recommendations will be presented in a poster format, supported by backup documentation, at a crucial meeting with Corvo Chukwu, the divisional information officer, on March 1, 2024. Convince Corvo that hiring you was the right call!
Sequential Steps:
1. Integrated Process Analysis and Issue Identification:
- Begin by analyzing the current process as detailed in the "Current system description." Create an Entity-Activity Table to identify and understand each entity and activity involved.
- Immediately following, develop a detailed system flowchart based on your Entity-Activity Table. This flowchart should serve as a foundation for identifying inefficiencies and vulnerabilities within the system, particularly focusing on internal control issues.
- As you create your flowchart, simultaneously identify, and note down potential internal control risks, particularly those that might allow for theft or loss. This approach ensures you consider the process documentation and issue identification as interlinked tasks.
Deliverables in this step:
- Entity-Activity Table (for backup documentation)
- System Flowchart of current system (for poster and backup documentation)
2. Solution Development and System Re-design:
- Based on your analysis, prioritize the identified problems and their reasons from the current process, considering their potential impact on the company. Rank them based on severity and immediacy as assessed by your team.
- Propose practical solutions for these problems. Develop an updated system flowchart that includes these improvements, showing a clear contrast between the current and proposed systems.
- Prepare table for your poster that explains how each proposed change addresses the specific issues identified in your analysis above.
Deliverables in this step:
- Table with ranking of identified issues against proposed solution/s for each issue (for poster and backup documentation). The table should not be cluttered with lengthy narratives or details - it should be well legible on a poster.
- Detailed written explanation of the issues identified and your proposed solution/s, with a particular focus on why your proposed solution/s address the issues and why you believe they work (for backup documentation).
3. Preparation for Poster Presentation and Backup Documentation
- Organize your findings and proposed solutions into a clear, persuasive poster presentation. A poster presentation consists of one single poster and is not a typical PowerPoint presentation with a series of slides. The poster and its presentation should logically flow from problem identification to solution proposal, using the two system flowcharts and your backup documentation.
- Avoid overloading your Poster, but include the following elements as a minimum:
o Title, team name, and member names.
o Original and improved system flowcharts.
o Table linking identified issues with proposed solutions.
- You can get creative and innovative by adding any other supportive data or visual aids that enhance your presentation butavoid information overload. The poster is your visual evidence that you provide professional, comprehensive work to the client's requirements.
- The Backup Documentation is your spelled-out supporting document in both the process of working on the case and creating the poster. It is a single document and includes the following as a minimum:
o Entity-Activity Table
o Both system flowcharts (current and improved process).
o Tables and detailed narratives linking identified issues with proposed solutions.
o Any other information/data/chart/graph/table/list/text you feel would strengthen your presentation/pitch and the markers understanding of your poster.
- You need to submit both poster and backup documentation files on Moodle immediately after your presentation will have taken place on March 1, 2024.
4. Effective Communication:
- Ensure that your poster effectively communicates a comprehensive understanding of the operational challenges and your strategic solutions. The layout should facilitate easy understanding and discussion during the presentation.
- The poster presentation on March 1 is intended to be dialogic - that means it should lead to a conversation between the consulting team (you) and the client and not a fully scripted 15-minute presentation. As consulting team hired by Corvo, you should strive to achieve customer "buy-in" to your analysis and propositions.
- Make sure to facilitate this by making a visually appealing poster - not overloaded, well-legible, with a logical flow from problem to solution is your objective here!
5. Ethical use of AI chatbots (ChatGPT, Bard, Copilot, etc.)
- You will get separate advice regarding ethical use of AI chatbots and their output. Whilst it will be acceptable and encouraged to use it in some places, it will be breaching academic integrity ("plagiarism") in others. Look out for separate advice on acceptable (and encouraged) use in due course!
